University Implementation: What our road map looks like
This post will outline Apex IT’s University Implementation process. For those who want to reduce costs associated with implementation, Apex IT’s University course is the solution. Your staff will be able to train themselves with our online tools & resources. In this post, we will show you what will be expected from you, and from us, to ensure that your business goes live.
What is the University Route?
Apex IT’s university route is the same as our Professional Services package, except the training is automated via online videos. There is one condition for you to go live with the University route and that is all of your team must pass the examination (60% or more). The key difference between the Professional Services package & University package is a consultant would train you and answer questions as you go on the professional services pack.
The University videos give you an overview of every part of the system and train you as a consultant would. After each video there will be a series of questions for you to complete. After passing each section, you will be allowed to progress, if you fail you must re-sit the questions to progress further.
Even if you choose the go through the professional services route, your team will be given the university to cement their knowledge if they please.
What does the roadmap look like?
The university will take you through the 6 main modules in Interprise, if any of these topics are new to you then don’t worry, our guide will make sure you understand.
Firstly, we will give all of your staff log-in details. That way they can make their way through the course at their own pace. You will also be able to monitor their progression, ensuring they do pass and are putting in the effort!
Your team will then cover the following areas of the system:
System Manager: area of the system which manages all of your system preferences.
Here you will define user and job roles, user accounts, set up your payment terms, payment term groups, shipping methods, shipping methods groups, whether or not you use multi-currency.
Accounting
Here you will go through financial layouts, account codes, journals, aged debtors, creditors, stock, stock revaluations, batch posting, how to process month-end, preferences and default accounts.
Inventory
In this section, you will cover inventory preferences, item categories, units of measure, selling currencies, item class templates, new item & import items, Assembly/Kit items, Non-stock items.
You will also set up your warehouse, understand how to find items, perform stock adjustments, stock takes, stock transfers, create assembly/works orders, do free stock assembly enquiries, perform stock valuations, profit analysis, prices lists, discount bands and import inventory opening balances.
Supplier
Here will you input supplier preferences, supplier payment methods, class templates, import current suppliers, learn how to create new ones and find suppliers.
You will also be shown how to create new purchase orders, find purchase orders, set up the auto-generate purchase order functionality. Create Goods Received Notes (GRNs), find GRN & amend. Use & find returns to suppliers. Create new bills/purchase invoices, find bills/purchase invoices. Create & Find Debit/Credit Notes. Create new supplier payments, perform payment runs, find supplier payments. Perform batch document print, supplier refunds, create supplier reports and put on opening supplier balances.
Customer
This part of the system covers your customer preferences, customer types, class templates, Ship-To class templates, debtor letters, report maps, how to import new customers/create new customers, how to find customers, create new sales reps and find sales reps.
It also outlines Batch Document Printing for picking notes and order acknowledgements, delivery notes & invoices.
The university will also teach you to create invoices, find invoices, post invoices. Create new RMAs (return merchandise authorisation), find RMAs, raise credit notes, find credit notes. As well as find/create quotes & proformas. Also create statement runs, overall aged debtors, create new customer receipts, find customer receipts, customer refunds, dashboards for reports, and put on customer opening balances.
Banking
Here you will set up your banking preferences, open bank balances.
Learn how to create a new bank account, find a bank account, create a new bank payment and find a bank payment, create a new bank receipt and find a bank receipt, create a new transfer fund and find a transfer fund.
You will also learn to perform bank reconciliations.
After you have completed this training, our consultants will then help you get your data into your system ready for your go-live date. Note, you will have to book these days in with our team.
