Keeping track of customer deposits

Keeping track of deposits is a challenge some of our prospects have faced and we would like to make you aware of how the Interprise Suite manages this.
Step 1: Add items to the Sales Order
In this stage, you would take an order from a customer as you usually would.
You can allocate stock you have, or create a back to back purchase order/drop-ship purchase order (from supplier direct to customer).

Step 2: Now you would like to make a deposit or payment for the order
The order has the option to log a payment for the whole amount or, like in this scenario, there is a deposit of £100.
Below, it shows the remaining balance outstanding.
If you are not wanting to ship orders that have no been paid for, then you can use the credit limit feature.
- Set the credit limit approval on and make customers credit limits £0.
- This means Interprise will not allow you to print a picking/pack note instruction to the warehouse.
- Therefore, the goods will not be picked and shipped.
Step 3: If you have a specific shipping date for the order.
Within the Sales Order Form, you can specify a date for the goods to be shipped.
You can add a payment for the remaining balance, then print/pack a note as an instruction to the warehouse to pick and ship the goods individually or in a batch.
This procedure reduces the risk of shipping items that have not been paid for in full – this is because the order status cannot be moved to Print Pick Note until Credit Approval status has been passed.
Once the order has been paid, you can change the stage in the workflow to Print Pick/Pack Note.
