Thank you for your business and support.
The new version will include features and fixes as described below.
Technology – General Update
Interprise already runs with MS Windows OS 7, 8, 10, MS Server OS 2012, 2016 and MS SQL Database 2008r2, 2014 and 2016. i.e. all the latest versions. The technology update brings the development environment up to date which does not affect end users directly but helps us take advantage of new Visual Studio features going forward.
Technology Feature – Client Update
The Interprise Client will now not Require Admin User Rights on a workstation which is useful on larger implementations.
Technology Feature – Client Update
When a user clicks on the client to run Interprise if there is a new version it will automatically download this saving us or your IT Department having to update clients on an upgrade individually.
Look & Feel
Look & Feel – Additional Skins and Ribbon Menu skins.
Each user will have the option to keep the tree menu or have a ribbon style menu whichever is the individual user’s preference. So 2 users at the same company can use either. We thought the option allows users who are used to using the tree menu to continue if they want to.
I will detail some screen shots below so you can see the new ribbon menu.
By Right Mouse clicking on a list you can enable Find Panel and or Filter Row see image below: This makes searching even easier.
Accounting Feature –Get nominal code segments from multiple areas
In addition to getting the nominal code from Default, Customer Ship to, Stock Item or Category we now have the ability to get segments from Customer Ship to, Category and Sales Rep.
As an example you could say sales is nominal code 4000 but I also want to use segments and segment 1 should come from stock category and segment 2 should come from the customer.
To implement this would require some consultancy time as it has to be planned properly.
Accounting Feature – Cash Flow
This feature helps you see what your cash flow may be in base and currencies taking into account orders, grns etc. It will help you decide what your requirement is for currencies.
Accounting Feature – New Profit Loss, Trial Balance and Balance Sheet Enquiry
This effectively replaces the Chart of Account enquiry. It allows you to enquire over any periods not just fiscal year, compare against budget or last year.
Drill down also allows you to export to Excel with drill down. (See: www.apexit.co.uk/docs/2018AccountingFeatureChartofAccountPLBSTBbyPeriodandSegmentsOverview.pdf )
Accounting Feature – Improved Stock Revaluation Routine.
The new screen shows where the differences came from. So instead of it just showing a total difference you can see which items account for the biggest differences.
Accounting Feature – Stock Revaluation Routine includes zero stock qty items
This is because it may have a nominal balance but we have 0 qty in stock so before it would not appear in the list but now it does. We also have a date field on the routine so it can be post the journal with a different date than today’s date.
Accounting Feature – Intrastat extra button for file export to include additional details.
Helps when trying to find problem items lines that should have had supplemental units.
Accounting Feature – Modified the Retro (Debtors) report to include:
Filter For Customer Type (All or specific), Tick Box to group by Payment Term (customer account default payment term), Tick box to group by Rep (Customer account default rep). Also updated the reports to match.
Accounting Feature – Picking a control account in a nominal list for sales invoices etc.
We added a tick box on nominal code to confirm if its control account like debtors control. If it’s a control account it is not shown as an option to post invoice item lines to as an example. Same goes for the supplier bills etc.
Accounting Feature – Option to copy 1 fiscal years budgets to another fiscal year by month.
CRM Feature – Target List Improvement
We have added to target list “Younger than” as well as older than to front page of wizard. The object of this is to get a list of customers who have been in contact for example in the last 3-12 months. Not up to 3 months or older than 12 months. Or offering stock to people who have bought something in the last 3 months rather than those than have not bought for over 3 months. We also improved speed of the filters with data.
Also added Departments and Brands to Purchased, Not Purchased and Quoted.
CRM Feature – Assign Activities to Sales Orders, Quotes, Invoices and Purchase Orders.
Changed Quote, Sales Order Invoice and Purchase Order form so can see assigned activities.
CRM Fix – Advanced Outbound Calls
After getting a record it displays the full address details of the entity and contact. There was a bug showing the contact name sometimes now fixed.
The record has a call status is In Call so no other user can grab the same record. The Call Back and Cancell Call button mark the status of the record as Call back or Cancelled call so they are still in the pool of records to be called. (not part of your normal call backs) Got Through marks it as got through and creates a call activity to confirm we have made a call. There was an issue when cancelling a call it should have marked it as cancelled and put to the bottom of the list to recall again. i.e. as you click cancel or call back a record it was presenting it again to call before users had been through the rest of the list.
Customer Feature – Add button next to Overall Due Date in SO to update all the items lines with the same due date.
Customer Feature – Sales Order Freight Charge Improvements
Added ability to include Weight + Volume + Postcode filtering of Delivery Methods on Sales Order form.
Customer Feature – Sales Order Payment Tab Improvement
We have improved the ability to take credit card payments in a sales order. (It should be noted that as part of the API and Magento integration you could put hyperlinks on your customer invoices, quotes and orders so they can pay online which is a lot easier from a PCI compliance issue. There is additional cost for this feature).
Customer Feature – Improved What do I owe Statement
Removed fields linked to settlement discount and updated statement layout.
Customer Feature – Receipt Allocation Date Restrictions
When allocating a receipt we have implemented restrictions so retro debtors work correctly. When an allocation is done it checks that the allocation date set is the same or forward of the youngest transaction and not to a date before the current period. EG if I put on a receipt (or invoice) dated 10th Sept, then put on an invoice (or receipt) dated 10th October, the allocation date would have to be the 10th October onwards. If the current period was November though then the oldest date we should allow is 1st Nov.
Customer Feature – Copy Quote button in quote.
It only allows you to copy it for same and other customers. This has been changed to include same and other Prospects as well.
Customer Feature – Sales Order Separate Dispatch
This allows you to consolidate invoices for customers on different intervals like daily, weekly, monthly etc. It also allows you to confirm dispatch of a sales order which updates it status and creates a back order immediately without having to post the invoice. It is so you can process the back order without having to post the invoice.
Customer Feature – Sales Order Import Order
We added a tab to the sales order “Import Order” this has a button to “Get file”. When you click it then it will ask for a location. It would default to your document folder. When it brings the file in it will check the columns exist for “Item Name”, “Customer Part Code”, “Qty” and “Price”. The items would be displayed in the tab. There is another button to “Add to the Order”.
If item name is not present then we will use the customer part code to translate back to our item name if setup. If the item name or customer part code does not exist then we will enter the item as a non-stock item and put what was in the item name field + Customer part code field into the description field. The normal defaults would default into the other fields like normal sales order logic. If no price is entered then we will follow normal order logic with the price.
Customer Feature – Sales & Rep Monitor
These are enquiry tools to see sales performance.
Customer Feature – Add the customer price list report into reports.
This allows you to email or print a price list for a specific customer with their prices.
Customer Feature – Add Preference for “Default Customer Receipt to Deposited or Undeposited”
As part of payment type setup you can define which should be defaulted.
Customer Feature – Update Item Costs at Invoice Post
This allows the cost prices of items and profit tab to be refreshed at invoice post.
Customer Feature – Stock Item Form Enable Pricing Tab for Kit items
This allows kits to have a sell price in price lists and customer special pricing. So you can create a kit like a bundle. The logic in a sales order or quote would be if the kit has a special price or is in a price list it would use it. Note as soon as you start changing kit components it will revert to the normal kit price logic.
Customer Feature – Credit Limit check when converting a quote to order.
If Credit limits are used and a user converts a quote to an order you only get notified that they are over the credit limit when you try to print as it checks the workflow. It doesn’t notify you like it does when you do a sales order & enter an item line. It now notifies you immediately when you have converted the quote and the SO opens.
Customer Feature – Transaction Tab More Button Removal
We changed the logic so it shows all Open as default regardless of date. The user can also show Closed and All and use the date option. By using the date option the user can show all or a date range.
Customer Feature- Customer Message Pop Up
We have added a tab to the customer form – recent history section called “Message”. In this you have an option called “Pop Up Message on New Sales Order” Tick. Then a memo field to type in what you want. If this is active then when you create a new sales order it will pop the message and ask the user to OK it. We have also added this for the Quote as well.
Customer Feature – Added 4 views into database to make user reports easier if using ODBC or report writer.
Customer Feature – Added customer’s name on the Confirmed Pick Screen, currently only shows Customer Code.
Customer Feature – Added a tick box flag in Customer setup called “Consignment customer”
So when we do a stock adjustment in or out it only lists consignment customers instead of all customers.
Customer Feature – Customer Record field for “Demand PO Reference” yes or no.
If yes when we do a sales order the 1st ref or customer PO field cannot be blank. If no then it can be left blank. Other logic on this field stays the same.
Customer Feature – In Document Tabs in Customer, Prospect, Opportunity etc, we have added the ability to Paste a document(s) in so don’t have to pick it from local drive.
Customer Feature – Tools, batch Document printing. The “ALL” printed tabs have been changed to sort in youngest order first.
At the moment its oldest first which is not helpful.
Customer Feature – Order/Invoice –ve item lines.
For none stock item lines you can now enter a –ve qty. This allows you to reduce the value of an order.
Customer Feature – Google Postcode Lookup
We have changed the customer, prospect and lead forms and wizards to allow you to enter a postcode and it auto enters the address. It is free and accurate most of the time.
NB if you don’t have an internet connection it will continue as normal just not entering an address. To try this create a new customer or prospect record and when you click off the first page of the wizard it should come up with the address automatically.
NB Google restricts the number of lookups you can do in a day / hour so if you are doing a lot you will need to subscribe to googles service for this.
Customer Feature – Rep Cost & Rep Profit Tab
We have added to the stock item form a “Rep Cost” this is the cost a rep can use to base profit. We have also added a new profit tab to the sales order and invoice form called “Rep Profit” and it uses this rep cost to base the profit value.
You would hide the normal profit tab from the rep in user role.
Customer Feature – Added credit note icon to customer form
So can create a credit note from customer form.
Stock Feature – Change Internal movement form to make it easier to use.
Stock Feature – Trial Build Enquiry
Same as Build but user cannot complete by mistake.
Stock Feature – Item Price Increase
It asks for a stock item and what % or value it is to be increased. It then shows on which customers price lists etc. it is and what the margin is and minimum margin and highlights in red any below. i.e. which prices need changing with this price increase.
Stock Feature – Sales Analysis
Shows sales by item, customer and category. This also has user restrictions to limit the data a rep can see if you give them access.
Stock Feature – Predicted Future Stock Valuation
This looks at the current stock, sales orders and purchase orders with item line due dates to predict future stock values and qty.
Stock Feature – Competitor tab in a stock item.
Allows a user to enter competitors and their prices for the items.
Stock Feature – “Component For” tab in stock item
We have added a tab so a user can see if an item is part of any assemblies
Stock Feature – Stock Item form, added a tab for history of nonstock and service items.
Stock Feature – Consignment Customers
At the moment we can see for each customer what stock is on consignment. We have added a report that shows for a warehouse the items in that warehouse and underneath which customer has them with qty. At the moment we have customer and then a list of items they have with total value. We cannot see an overall stock on consignment for a warehouse without having to look at each individual customers report.
Stock Feature – Additional Stock locations
You can now have as many locations per warehouse as you want to. We have added a Route code as well so the pick note can have item lines grouped by route / by location so the picker is not having to go back and forth in the warehouse. We also have a preferred picking location and a preferred put away location if different by item. You may be using fixed bins which can continue. If you want to implement this feature then you may need some consultancy time as layouts may need changing etc. Our batch/serial plugin integrates with the multi locations.
(See Bins Only: www.apexit.co.uk/docs/2018StockFeatureMultipleLocationsPerWarehouseBinsOnly.pdf ), (See Bins Batch / Serial: www.apexit.co.uk/docs/2018StockFeatureMultipleLocationsPerWarehouseOptionalSerialBatch.pdf )
Stock Feature – Stock Take Form improvements
We have added Department, Manufacturer to columns with ability to filter. We also added a search to filter the list of items as well with a Select all and Select none option. We have also added the ability to set all qty to zero via a button.
Stock Feature – Stock Take Form Export to Excel.
In the Stock Take Form we have added 2 icon buttons for Export to Excel and Import from Excel. So on Export it would export a CSV type file of Warehouse, Location, Item Name, Item Description, Category, Expected Qty, Counted Qty. And on Import it just expects as a minimum the Warehouse, Location, Item Name and Counted Qty Columns. This will update the qtys in the stock take form. Then the normal posting of the stock take can take place.
Stock Feature – Tools – Profit Analysis Enquiry tool now does subtotals in the groupings you chose.
Stock Feature – Stock form added a document tab and a notes tab.
Stock Feature – In Price List, Export price list button.
When excel file is created it only shows the item name. We have added the item description as well. Users find it hard to identify some items with just their code.
Stock Feature – We have Added Kits in price lists and special pricing so a kit could be used as a bundle item.
A fixed list of components at a special price with no options.
Stock Feature – Sales by Supplier Report
This shows your sales by supplier which is useful when reviewed your supplier and what you buy from them.
Supplier Feature – Supplier Payment Discount.
We improved the payment routine to be like the quick payment run so user can type in any discount amount up to the balance of the transaction line.
Supplier Feature – Supplier Form Setup Tab bank details
We have changed it so it displays the bank details regardless of what payment type the supplier has. It used to only become available if you had a payment type of remittance & file.
Supplier Feature – Add “Volume” option for Landed Costs & Item Line Option.
We had added Volume to Qty, Value and Weight as a distribution method. We now get the value to distribute from specific values, a global %, an Item %, or Use the Freight Value and now individual Item Line Costing. When Item line costing is picked you can change the value to be added to each item individually. This is good if some items don’t have duty and others do on the same PO.
Supplier Feature – Added in Quick supplier payment a filter for supplier code.
Supplier Feature – Added option in Aged Creditors to show by calendar month.
We already had this in customer debtors.
Supplier Feature – Keeping user cost price change on PO item line.
We have this logic in a sales order now. If a user changes the cost price on a PO item line and then changes the qty if pricing is setup it would recalculate the cost price. We have changed this so if a manual price is entered it keeps it for the item line regardless of other changes. Same as sales order now.
Supplier Feature – Payment Allocation Date Restrictions
When allocating a payment we have implemented restrictions so retro creditors work correctly. When an allocation is done it checks that the allocation date set is the same or forward of the youngest transaction and not to a date before the current period. EG if I put on a payment (or bill) dated 10th Sept, then put on an bill (or payment) dated 10th October, the allocation date would have to be the 10th October onwards. If the current period was November though then the oldest date we should allow is 1st Nov
Supplier Feature – Purchase Order Import Order
We added a tab to the purchase order “Import Order” this has a button to “Get file”. When you click it then it will ask for a location. It would default to your document folder. When it brings the file in it will check the columns exist for “Item Name”, “Qty” and “Price”. The items would be displayed in the tab. There is another button to “Add to the Order”. If the stock item name does not exist then it will create it as a non stock item line. The normal defaults would default into the other fields like normal purchase order logic. If no price is entered then we will follow normal order logic with the price.
System Manager Feature – Dashboard Settings
By user role you can restrict in lists whether a user can export or do New, etc.
System Manager Feature – Who’s logged in
So users can log others out and see who is logged in
System Manager Feature – Added to Import Wizard option to Import Nominal Codes.
System Manager Feature – Stock item Import wizard now includes the supplier part code and extended description.
System Manager Feature – Improve the Company Setup Wizard
To make it easier and quicker for users to get up and working. Also save us time when creating a new database. We have tidied up the nominal codes, all currencies in class templates as default are GBP, VAT codes, Payment terms and shipping methods.
Have you seen the new Plugins we have?
API & Magento Code Package
We have made a significant investment in creating an API (Advanced Programming Interface). Basically this allows 3rd party developers of web shops etc. to integrate to Interprise easily.
To prove the concept we created tight integration out the box with Magento ecommerce using the API. i.e. we give your Magento developer a code package. So you could run a Magento web shop for B2B and B2C operations. Your customers can login to the site and see their orders, invoices, credits, statements, cases, quotes whether entered in Magento or in Interprise. Also see their pricing, make a payment by credit card for quotes, orders or invoices. Stock items and information can be taken from Interprise and Sales Orders sent to Interprise.
(See Magento Screens: www.apexit.co.uk/docs/MagentoInterpriseIntegrationScreenshots.pdf )
Supplier Feeds Stock In Channel
This allows you to update your stock information from suppliers with their cost prices, qty in stock etc.
All New Trade Counter
This allows for touch screen and scanning of items.
